Main Purpose of Role

  • As the mortgage administrator, you will be working alongside our team of mortgage underwriters and the underwriting team manager to ensure that all our customers mortgage application files are dealt with in a timely and efficient manner. As well as maintaining accurate and up to date records you will engage with clients, mortgage brokers and their support teams, valuers, solicitors, and the Bank’s internal departments to offer customers the highest level of service.
  • To support the mortgage team to effectively review and underwrite residential mortgage applications, further advances, and Product Transfers (rate changes) in line with Bank’s mortgage lending policy, procedures and controls ensuring the principles of conduct risk, TCF and responsible lending are observed, and detailed affordability assessments completed and saved to file.
  • To support the mortgage team in managing their mortgage application pipeline effectively, using the mortgage organiser and other internal tools to help effective management of all cases that are assigned to the team as allocated by the Head of Mortgages or the Mortgage Underwriting Team Manager.
  • To receive training from Head of Mortgages and Mortgage Underwriting Team Manager regarding mortgage underwriting processes and procedures to improve knowledge and capability.
  • Personal development is important and as part of this role the Bank would look to support your growth within the mortgage sector through a structured 18-month development plan by helping you grow your knowledge of mortgages as well as sponsoring you with a CeMAP Qualification, this would include structured study through Simply Academy.

Main Responsibilities

  • The main tasks and responsibilities for the role include but not exhausted to the following;
    • Credit Searches
    • Instructing valuations
    • Following up outstanding documentation from Customers / Brokers & Solicitors
    • Offer Documentation
    • Account opening for mortgage completions
    • Partial payments administration
    • Redemptions Administration
    • Product Transfers administration
    • Assisting the Annual Mortgage Statements process
    • Assisting with general email enquiries
  • Ensure that all mortgage applications follow the mortgage application administration policy and procedure manuals, thereby ensuring all KYC + ID&V documentation meets the Bank’s requirements as a responsible Lender
  • To support the mortgage team in managing their mortgage application pipeline effectively, using the mortgage organiser and other internal tools to help effective management of all cases that are assigned to the team as allocated by the Head of Mortgages or the Mortgage Underwriting Team Manager
  • To support the mortgage team with completing product transfers and general servicing of the mortgage backbook within a timely manner and ensure that you work closely with the Customer Experience Team to maintain high customer service levels and standards
  • Liaise with customers, intermediaries, and related 3rd parties (including valuers and conveyancers) to gather information to make appropriate decisions and explain rationale behind lending decisions.
  • Act fairly, reasonably and with integrity in all dealings with customers, intermediaries, valuers, and solicitors, ensuring TCF and responsible lending principles are observed.
  • To assist the mortgage team to ensure that as a department the Service Level Agreements (SLA’s) on the following elements of the mortgage applications are maintained;
    1. Turnaround time of issuing Agreement in Principles (AIPs) to brokers / Direct Customers
    2. Turnaround time of Full Mortgage Application to Formal Mortgage Offer Turnaround times (known as App to Offer)
    3. Ensures that the mortgage team maintain and own ongoing communication to key stakeholders (Solicitors / customer(s) / mortgage broker) of all applications post formal mortgage offer to ensure that the application completes within timeframe
  • Assist the mortgage underwriters to ensure the production of Formal Mortgage Offer documentation is indeed right first time by utilising supporting documentation held on file and that this is checked PRIOR to being issued to customer(s) / Broker & Solicitor so this is right first time.
  • To complete ongoing mandatory training as outlined within the Bank’s policies and procedures (note that this is separate to the personal development plan outlined)

General duties

  • Fully embrace the Bank’s culture and values.
  • Being assigned to the Phone Rota and as such being able to answer mortgage queries from the following populations;
    • Mortgage Brokers
    • Direct Customers – General enquiries only
    • Solicitors
    • Valuers
    • Mortgage Clubs
  • Remain up to date with knowledge by reading professional publications, participating in professional organisations, and maintaining personal networks.
  • Complete Mandatory Training within timeframe.
  • Work effectively with colleagues from within the wider Bank structure.
  • Support the Mortgage team through managing general telephone/email enquiries from existing/prospective customers.
  • Provide assistance as necessary to team members during times of peak workflow.
  • Support the mortgage team with on-going relationship with brokers which are critical to help maintaining good business relationships by being able to provide updates to ongoing applications or requesting outstanding documentation.
  • Project work on request by either the Head of Mortgages, or the Underwriting Team Manager.
